Overview

What it is, and what it is not.

The Operating Kit began as a folder of documents we kept emailing to cohort students. It covers the unglamorous middle of a project — the part nobody teaches, where most of the money is lost.

It is not a course and it is not advice. It is nine templates, written in plain language, with the reasoning behind every clause in the margin so you can change them without breaking them.

What is inside

  • A scoping questionnaire that surfaces the budget in question three
  • A rate card structure that explains itself and survives negotiation
  • Project and retainer agreements, with a kill fee people actually sign
  • A weekly client update format that takes four minutes to write
  • A handover pack that ends the project instead of extending it
  • A retrospective that makes the next project measurably cheaper

Everything ships in three formats, and all three are editable. There is no proprietary file and no tool you have to sign up for.

Contents

Nine templates, in the order you use them.

  1. The scoping questionnaire

Twelve questions that get you the budget, the decision-maker and the real deadline before you write a proposal.

  2. The rate card

Three tiers with visible differences, written so the middle one is the obvious choice.

  3. The proposal

Outcome first, price second, process last. Half the length of the one you are using now.

  4. Project agreement

Scope, payment schedule, revisions, and a kill fee clause that has never been struck out in four years.

  5. Retainer agreement

For ongoing work, including the notice period that protects both sides.

  6. The weekly update

Four minutes to write, and it prevents about ninety percent of check-in meetings.

  7. Change request

One page the client signs. Scope creep becomes a conversation about money instead of a conversation about goodwill.

  8. Handover pack

Files, access, licenses and a maintenance note. The project ends on a date rather than fading out.

  9. Retrospective

Six questions, forty minutes. The only process change that pays for itself in one use.

4.9 average.

The kill fee clause has been signed eleven times without a single amendment. That clause alone is worth more than the kit costs.

I run the retrospective after every project now. The third one told me I was losing four days per job to a step I had never questioned.

Version 4.2 arrived free, eighteen months after I paid. Nothing else I have bought has done that.

Before you buy

The practical questions.

Is this legal advice?

No. The agreements were drafted with a lawyer for a US studio and are a strong starting point, but you should have your own counsel read them before you rely on them in your jurisdiction.

What formats do I get?

Google Docs, a Notion duplicate link, and plain Markdown. All three are the same content and all three are editable.

Can I use it for client work?

Yes, on unlimited projects, for as long as you like. You cannot resell the templates themselves or publish them as your own product.

What does 'free updates for life' mean?

Every future version arrives by email at no cost. There have been four major versions since 2023 and every buyer has all of them.

Is there a refund?

Thirty days, no questions, and you do not have to delete the files.

Three that pair with it.
